How to make a quote

  1. Add your business details: your name, address and tax number, if you have one.
  2. Add your client, a quote number, the issue date and the date the quote is valid until.
  3. List the work or products with quantities and prices (up to 10 lines), then choose the tax formula that applies.
  4. Add any terms in the notes, check the total, and download the PDF to send to your client.

Quote vs estimate

A quote is a firm offer: specific work at a stated price, open until a set date. Once your client accepts it, it is generally treated as binding for that scope.

An estimate is a non-binding approximation of what the work might cost. The final price can change as the scope, time or materials become clearer.

Send a quote when you can price the work with confidence, and an estimate when you can't yet. This is general information, not legal advice: what binds you can depend on your contract and your province.

Frequently asked questions

What is a price quote? ▾

A price quote tells a client what specific work or products will cost before they commit. It usually lists the line items, taxes, a total, and the date the price is valid until.

What is the difference between a quote and an estimate? ▾

A quote is a firm offer at a stated price and is generally treated as binding for that scope once accepted. An estimate is a non-binding approximation, so the final price can change.

What is the difference between a quote and an invoice? ▾

A quote comes first: it offers a price for your client to accept. An invoice comes after the sale is agreed or the work is done, and it asks for payment. A quote does not ask for payment.

How do I send a quote to a client? ▾

Download the PDF and attach it to an email. This free tool does not send email for you. Ask your client to confirm their acceptance in writing so you have a record of it.

How long should a quote be valid? ▾

30 days is common, and it is the date this generator suggests. Choose a shorter period if your costs change quickly. The valid-until date cannot be earlier than the issue date.

How do I add GST, HST or QST to a quote? ▾

Choose the formula that applies from the Tax Formula list. The generator shows each tax on its own line and includes it in the total. For Québec, GST and QST are each calculated separately on the pre-tax subtotal. Please verify the amounts before you send the quote.
