Receipt template for Excel

The .xlsx version is a working sheet, not a picture of one. Enter a quantity and a unit price and the line total appears; the subtotal, each tax line and the grand total follow automatically. Tax rates sit in their own cell that the formula reads, so if a rate changes you correct one number rather than rebuilding the sheet. The cash and deposit versions also work out the change given or the balance still owing. Opens in Excel, Numbers, LibreOffice, and Google Sheets.

Receipt template for Word

The .docx version is the same document laid out for printing and signing, with bracketed placeholders to type over. Word cannot carry live formulas, so the amounts are yours to fill in — take this one if you are writing receipts by hand or handing over a signed copy, and the Excel one if you want the arithmetic done.

What a receipt needs to include

A receipt proves a payment was made. That makes it a different document from an invoice, and it is what your customer keeps for their own bookkeeping and tax claims. Every template here already has these fields laid out.

Who was paid, and who paid

Your business name and address, and the name of the customer who paid. If you are registered for GST/HST or QST, your registration number belongs here too — a customer cannot claim an input tax credit without it.

A date and a receipt number

The date the payment was received, not the date the work was done. A sequential receipt number makes the document findable later, for you and for anyone auditing either side.

What the payment was for

A plain description of the goods or services. "Consulting" is thin; "Website redesign — deposit, phase 1" tells the story a year from now when neither of you remembers.

The amount, broken out

Subtotal, each tax shown on its own line at its own rate, and the total. Bundling tax into one figure makes the receipt useless for a customer claiming it back, and harder for you to reconcile.

How it was paid

Cash, card, e-transfer or cheque. On a cash receipt, note the amount tendered and the change given; on a deposit, note the balance still outstanding so nobody is surprised by the next invoice.

A reference to the invoice

If the payment settles an invoice, name it. That single field is what lets you match a payment to a bill without going back through your records line by line.

General guidance for Canadian small businesses, not tax or legal advice. Requirements differ by province and by the kind of business — check the CRA and your provincial tax authority, or ask your accountant.

Is it a receipt or an invoice?

An invoice asks for money; a receipt confirms it arrived. If you have not been paid yet, you want an invoice — the same gallery exists for those, pre-built with the right tax rows for your province.
